AI Usage Policy

1. Purpose

Snap Send Solve Pty Ltd (ACN 162 334 965) (we, us or our) is committed to using Artificial Intelligence (AI) responsibly and securely in providing our services.  The purpose of this AI Usage Policy is to establish guidelines for the responsible and secure use of any artificial intelligence technology. This Policy aims to inform our clients (you or your) about our AI practices and ensure transparency in our use of AI technology. 

2. Scope

This Policy applies to all services we provide that may involve the use of AI.

3. Our Commitment

We are committed to using AI responsible and securely in providing our services. We ensure that our personnel are trained in the appropriate use of AI and that all AI-generated content is properly labelled and verified for accuracy. 

4. Use of AI

We may use AI for various aspects of our service delivery, including to:

  • draft emails, reports, and other documents;
  • generate and modify content; 
  • assist with research and data analysis; 
  • brainstorming ideas and solutions.

Our services may also include AI functionalities and features. These features are clearly set out in the App or on our site and are referred to in the relevant terms and conditions governing the use of our Services, as well as our Privacy Policy. 

Where we use AI, we:

  • take reasonable steps to ensure the accuracy and reliability of any AI we use;
  • apply human review and oversight where appropriate; and
  • remain responsible for the services provided to you in accordance with our service terms and conditions.

We will not use AI:

  • to create or share offensive, discriminatory, harassing or inappropriate content;
  • to disclose:
    • your confidential or sensitive information; or
    • ‘personal information’ as defined in the Privacy Act 1988 (Cth);
  • in any manner that may infringe upon intellectual property rights, whether yours or those of third parties; and
  • to breach, or in a manner that may breach or cause us to be in breach of, any laws or contractual obligations we may have.

5. Security and Privacy

We are committed to protecting your information when using AI.

We will:

  • implement monitoring and evaluation approaches to assess AI systems for unintended impacts and effectiveness; and
  • regularly review internal policies and governance approaches to ensure they remain fit for purpose.

6. Compliance

We will comply with all relevant Australian laws and regulations when using AI, including but not limited to:

  • Privacy Act 1988 (Cth); and
  • Copyright Act 1968 (Cth).

We will integrate AI considerations into existing frameworks including privacy, protective security, record keeping, cyber security and data governance to ensure a comprehensive approach to AI risk management.
